Not-So Spooky News in ELAP

(10/31/25) We are well into the 2025-2026 program year and SWORPS has been working hard to incorporate suggestions and feedback provided by our database users. Some of our more recent updates have included new reports, little additions to make your work easier, and of course, bug fixes! Keep those ideas coming as SWORPS always appreciates your feedback. 

Save the Date: Extended Learning Virtual Check-ins

Extended Learning will host virtual check-ins for 21st CCLC and LEAPs grantees in November.  Check-ins will be held on Nov. 12 and Nov. 13

The Local Evaluation Report: Initial Annual Summary and Planning Report is due Oct. 31. The Local Evaluation Mid-Year Feedback Report and the Related Performance Indicators Report will be needed for reference. One report must be completed for each grant cohort you have. Email the SWORPS Help Desk sworpshelpdesk@utk.edu with any questions.  

Save the Date: ELAP Office Hours

SWORPS will host virtual office hours on Tuesday, Nov. 18, from 9-10 a.m. CT | 10-11 a.m. ET. 

Topics will include DQC expectations and explanations, best practices for data collection, and using reports to identify missing data.

ELAP Data Quality Check

The Data Quality Check for all enrollment data is Nov. 30. Please ensure the following data is entered for all students enrolled in your programs in ELAP:  
  • State-issued student ID  
  • Free/reduced price lunch status  
  • Special education status  
  • English language learner status  
  • 2024-25 GPA (students currently in grades 7-12 only)  
  • 2024-25 State Assessment score (students currently in grades 4-8 only)  
  • 2024-25 school year absences   
  • 2024-25 school year ISS  
  • Initial/Fall Early Literacy screener name and composite (AKA normed percentile score) for students in grades K-2 only
